Creating annual reports that group data by week

With a little SQL you can group your timesheet data by week...

This blog post discusses how you can create an annual timesheet report that groups or summarizes data by week. Normally when running timesheet reports, such as Employee Hours, the data is totaled for the entire reporting period. For example, the Employee Hours by Task report looks something like this when run year-to-date:

Employee Hours by Task

You can have this report summarize the data in weekly groups by using the following SQL as a grouping:

STR_TO_DATE(CONCAT(YEARWEEK(t_timeentry.strt,0),'0'),'%x%v%w')

This SQL is only valid for MySQL, but similar constructs can be made for Microsoft SQL Server and Oracle. When you group by this expression the hours data will now look like this:

Employee Hours by Task - Weekly

Here you see the same data, only summarized by the week of the year. You can contact Pacific Timesheet support or your application specialist for a more detailed solution document that describes how to do this.

Crew Timesheet Tips: Automating Cost Code and Craft Level Assignment

Many believe that the main benefit of automating field services and crew time tracking is reducing administrative costs and eliminating double data entry. While this benefit is significant, perhaps even more important is automating crew assignments.

With advanced assignment automation a system would allow supervisors to login and see a completely populated crew timesheet, including job, cost code and craft level assignments to workers. Another feature of automation would restrict the supervisor, when making or modifying assignments, to only see those cost codes or craft levels a worker is permitted to be assigned.

Distributing assignment-making ability into the field with the supervisor allows crew timesheets to be adjusted throughout the day as workers leave early or replacements show up. All of this means more accurate time tracking throughout the day and automated tabulation of hours and costs at the end of the day.

The majority of construction and field services operations use daily paper crew timesheets to track time by job, cost or craft codes. The paper timesheets need to be created, printed and distributed by administrative staff at the job site.

A difficulty of automating this process is that the crew timesheet needs to be setup with these assignments in advance, or supervisors need to easily be able to make these assignments or change them in the field.

With crew timesheet automation a field services operation has two new options:
1) have administrative staff setup crew timesheets at the beginning of the day, or even modify assignments throughout the day for supervisors tracking time. The supervisors would be go to fully populated crew timesheet screens and enter hours and details throughout or at the end of the day.
2) Where setup of a crew timesheet does not vary from day to day, a copy previous day feature can carry forward the previous day's assignments and thereby completely eliminate any administrative preparation of a new daily crew timesheet. A supervisor can make minor adjustments to the crew timesheet setup and enter hours throughout the day.

New release! Pacific Timesheet 6.72

A new version of Pacific Timesheet is now available, version 6.72. This version has two key features a number of customers have requested:

  • New Accrual Option - Forecasting Only
A new accrual option is available that, if checked, will cause accruals to only be used to compute or forecast available leave for requests. The accruals will not be added to the actual balance. This is useful for situations where you are importing or setting balances from an external HR or payroll system, but would still like leave requests to show future available balances. To find out more go to the System > Policies > Balance and Accrual Rules page and click the online help link.
  • Minimum Work Hours Per Day
There is a new time entry rule, "Minimum Work Hours Per Day", that allows you to require that employees account for each work day, Monday through Friday. This rule is run when the timesheet is submitted, and both work and leave hours are counted when totaling the number of hours worked each day.

You can see all of the changes here:

Pacific Timesheet Announces California Labor Rules Enhancements

Las Vegas, NV — January 25, 2010 — Pacific Timesheet has announced that it has significantly enhanced its support for California labor rules such as meal penalty rules and split shift premium rules.

The state of California requires that certain classified non-exempt or hourly employees are paid a meal penalty equal to one regular hour of pay if they miss a meal after more than five hours of continuous work. In addition, California requires employers to pay non-exempt or hourly employees a premium if the time that lapses between shifts is more than one hour.

Jim Dickerson, VP of Operation stated, "The challenge of complying with California labor laws is not just how they are defined today. Ongoing cases each year have made complying somewhat of a moving target. Pacific Timesheet's highly configurable support for complying with these laws has been an advantage our customers with operations in California have been looking for."

According to the California Labor Code, “In California, an employer may not employ an employee for a work period of more than five hours per day without providing the employee with a meal period of not less than thirty minutes, except that if the total work period per day of the employee is no more than six hours, the meal period may be waived by mutual consent of both the employer and employee. A second meal period of not less than thirty minutes is required if an employee works more than ten hours per day, except that if the total hours worked is no more than 12 hours, the second meal period may be waived by mutual consent of the employer and employee only if the first meal period was not waived.”

Dickerson continued, “Pacific Timesheet provides support for an unlimited number of rule combinations, which includes rules for employees who sign a meal penalty waiver and those who do not sign a meal penalty waiver.” In addition, Pacific Timesheet has provided support that allows for individual meal penalty overrides or split shift overrides or waivers with a detailed comment for auditing for circumstances where the penalty or premium needs to be modified according to the California labor code. Pacific Timesheet also provides extensive support for California overtime rules, including consecutive-day overtime rules.
